Heneb Selects Rosterfy to Enhance Volunteer Engagement Projects Across Wales

Heneb - The Trust for Welsh Archaeology selects Rosterfy to enhance volunteer experience, connect communities, and expand heritage engagement across Wales.

Rosterfy, leaders in volunteer management software, are excited to announce that Heneb – The Trust for Welsh Archaeology, will implement Rosterfy’s platform to streamline and scale volunteer engagement across Wales.

"Following an extensive search, Heneb has partnered with Rosterfy to support our volunteer engagement programmes and projects. We are grateful to the National Lottery Heritage Fund for helping to support Heneb in making this partnership possible through our Building Resilience and Sustainability grant.” said Denise Jones, Head of Finance and Business Resources at Heneb.

Formed in 2024, through the merger of the four Welsh archaeological trusts  – Clwyd-Powys, Dyfed, Glamorgan-Gwent, and Gwynedd  – Heneb brings together more than 50 years of expertise in uncovering and preserving Wales’ rich archaeological heritage. The move to Rosterfy marks a major step in Heneb’s transformation into a unified, modern volunteer programme — connecting communities to the past through diverse heritage and research projects.

“We are beyond grateful to our volunteers, who are currently managed regionally, who help with a range of projects including desk-based research, data entry, excavation, post-excavation finds processing and much more.” said Zoe Arthurs, National Outreach Lead at Heneb.

Streamlining and scaling volunteer engagement across Wales

Following the merger of four regional Trusts, Heneb identified the need for a more cohesive and scalable approach to volunteer management. Moving from regional processes to a national framework presented challenges in communication, administration, scheduling, and reporting.

Rosterfy’s automation, scalability, and reporting tools will allow Heneb to unify volunteer data, streamline onboarding and safeguarding checks, and improve communication across all projects –  freeing up time for staff to focus on supporting volunteers and delivering impact.

“The roll-out of a standardised system will help us to free up time for our teams to support the individuals engaging with Heneb, promote a range of opportunities and provide a seamless user-experience for our volunteers.” added Arthurs.

Why Rosterfy? Empowering heritage volunteering through technology

Heneb sought a partner who could provide a flexible, user-friendly solution capable of maximising engagement opportunities for volunteers across Wales. Rosterfy stood out for its powerful functionality, compliance features, and ability to recognise volunteer contribution through accurate data and insights.

We spent a lot of time exploring a range of other options but the approachable team, extensive demo, user-friendly system, knowledgeable staff and great value-for-money set Rosterfy apart.” Arthurs shared.

Thanks to a generous grant from the National Lottery Heritage Fund, we are thrilled to have been able to appoint Rosterfy to provide this outstanding service and software to help us look after our volunteers.”

Looking ahead: simplifying administration, enhancing experience

Through the implementation of Rosterfy and a dedicated period of staff and volunteer training, Heneb will introduce a unified, organisation-wide approach to volunteer management. The Rosterfy platform will simplify administration and reporting, provide a streamlined volunteer journey, and increase accessibilities to opportunities across the country.

Rosterfy’s volunteer portal will make it easier for Heneb volunteers to discover projects, track hours, and stay informed – creating a more connected and rewarding experience for all.

Casper Harratt, General Manager at Rosterfy, welcomed the new partnership, stating:

“We’re thrilled to partner with Heneb to help connect people across Wales with their shared heritage. At Rosterfy, we believe in the power of volunteering to bring communities together around causes they care about, and this partnership embodies exactly that.”
