VOLUNTEER MANAGEMENT

The University of Western Australia selects Rosterfy to streamline volunteer management for medical program

The University of Western Australia (UWA) has joined forces with Rosterfy to streamline volunteer scheduling, enhance data management, and meet Australian data sovereignty requirements.

Perth, Australia – Rosterfy has announced a new collaboration with The University of Western Australia (UWA), which will see its volunteer management platform implemented within UWA’s Doctor of Medicine (MD) program. The initiative aims to streamline volunteer coordination, enhance data management, and support compliance with Australian data sovereignty requirements.

UWA's MD program, a rigorous 4-year postgraduate course, trains over 200 students annually. This includes  a comprehensive clinical assessment, where students rotate through 12 specialised stations across critical medical disciplines.

Managing these complex assessments, which take place across multiple locations and require over 1,000 volunteers each year, has traditionally been a challenging task. The current system, relying on spreadsheets, led to significant inefficiencies, misaligned volunteer matching, and operational delays.

Why Rosterfy?

Rosterfy was selected after a comprehensive evaluation process, where the platform’s flexibility and customer-centric approach stood out. Unlike other providers, Rosterfy embraced UWA’s need for a customised volunteer management solution, including specialised filtering and matching capabilities. This collaboration will allow the university to streamline volunteer recruitment, improve volunteer-to-role matching, and automate scheduling, freeing up valuable time for administrative staff

Ensuring volunteer suitability and accuracy in medical assessments

Given the critical nature of the medical assessments, a significant percentage of volunteers must meet specific conditions to ensure the accuracy and authenticity of the evaluations. The University of Western Australia has a rigorous selection process to identify and verify volunteers  whether they are healthy individuals or patients with particular medical conditions—to simulate real-world clinical scenarios effectively.

Rosterfy’s platform supports this need by providing advanced filtering and verification tools that allow the university to screen volunteers according to detailed criteria. This ensures that each volunteer matches the required profile for their designated role, enhancing the quality and reliability of the assessments.

Moreover, Rosterfy facilitates ongoing engagement and retention of these valuable volunteers through automated communication, scheduling, and reward and recognition features. This capability enables the university to maintain a reliable pool of fit-for-purpose volunteers for future assessments, reducing recruitment pressures and ensuring continuity in the program.

Local data hosting and compliance

A critical factor in UWA’s decision to implement Rosterfy was the platform’s ability to meet Australian data hosting requirements. Rosterfy’s comprehensive security policies ensure that all volunteer data remains within the country, addressing the university’s stringent IT security standards and data sovereignty needs.

A future-focused solution

By adopting Rosterfy, UWA is set to achieve significant operational improvements. The platform’s advanced filtering and onboarding questionnaires will enable more accurate volunteer-to-role matching, ensuring that each assessment is supported by volunteers with the necessary skills and backgrounds. This change is expected to drastically reduce the administrative burden on staff, allowing them to focus on higher-priority tasks.

“The partnership with Rosterfy represents a major leap forward in how we manage our volunteers within our medical training program,” said Therasa Fahey, Team Leader (MD1) Program at The University of Western Australia.  “We are excited about the potential for increased efficiency, reduced stress on staff, and ultimately, a better experience for both our students and volunteers.”

What this means for other medical institutions, universities, and colleges

As other medical programs, universities, and colleges face similar challenges with large-scale volunteer coordination and complex assessments, UWA’s partnership with Rosterfy offers a powerful example of how technology can address these operational hurdles. Rosterfy’s flexible platform can be tailored to fit the unique needs of any medical institution or educational organisation, from volunteer recruitment and scheduling to compliance with local data regulations.

Broader reach through the SEEK Volunteer integration

As part of Rosterfy’s ongoing commitment to enhancing volunteer recruitment, its integration with SEEK Volunteer will provide the university with access to broader recruitment channels and significantly expanded candidate pools. This feature will enable UWA to promote volunteer opportunities to a wider audience, increasing visibility and attracting a more diverse range of applicants. In turn, this will strengthen the university’s ability to match the right people to the right roles.
