Introduction

The Golf Association of Philadelphia (GAP), founded in 1897, is the oldest regional golf association in the United States. Operating under the United States Golf Association (USGA), GAP represents 350 member clubs and more than 130,000 players across the region.

Running a demanding calendar of approximately 200 event days per year – including prestigious tournaments and their signature Adaptive Golf Championship – GAP’s core mission stretches far beyond mere logistics. It is about delivering an exceptional, first-class experience on the course for every player. To successfully protect this standard, the association relies on a passionate network of volunteers who act as the primary face and ambassadors of the historic GAP brand.

The challenge

For premier sporting associations with a rich heritage, volunteer management is never just a numbers game it is an experience game. Prior to partnering with Rosterfy, GAP’s workforce operations were bogged down by manual, highly fragmented processes. The team relied on a custom legacy database from the late 1990s, manual spreadsheets, PDFs, and endless back-and-forth emails.

This administrative burden created serious roadblocks that threatened the quality of their tournaments:

  • Inconsistent brand identity: Disconnected communication tools made it difficult to provide a unified, premium onboarding experience that matched the prestige of GAP’s historic member clubs.
  • Administrative drain on human touch: Staff spent up to 75% of their time trapped in repetitive data entry, leaving them with limited bandwidth to focus on building high-touch relationships with volunteers or strategic partners.
  • Risk to the guest experience: Managing volunteer shifts, background checks, and logistics manually left room for human errors, which could directly manifest as disruptions on tournament days, impacting player confidence.

Why Rosterfy

GAP looked beyond the immediate golf sector to find a solution that could elevate their entire workforce experience to world-class standards. They chose Rosterfy because it allowed them to turn administrative efficiency into a tool for brand consistency and operational excellence.

Key reasons for adopting the platform included:

  • Total brand control: Rosterfy granted GAP full ownership over their messaging, colors, fonts, and communication flows, creating a premium first impression from the very first click.
  • Professional onboarding framework: The platform enabled comprehensive background checks and upfront data collection, ensuring that high-end facilities and youth golf events remained fully secure and compliant.
  • Upskilling for the future: Rather than simply collecting more names, GAP wanted to elevate the capabilities of their workforce. Rosterfy provided the structured pathway needed to train volunteers for complex, high-tier roles like certified rules officials.

The results

Rosterfy’s allowed for the highest level of flexibility getting us the closest to our ideal internal operational best practice.

  • Streamlined administrative workflows: By utilizing intuitive, customized workflows tailored to the organization’s specific processes, volunteer coordinators can manage onboarding and scheduling with ease, significantly reducing day-to-day administrative tasks.
  • Eliminating data silos: The organization utilizes the customizable reporting process in tandem with the easy to use export option to share information with Raiser’s Edge NXT.
  • Frictionless self-service booking: Volunteers gained total autonomy to complete visual onboarding check-lists and schedule themselves into crucial shifts, eliminating those messy back-and-forth emails.

The impact

Protecting the premium player experience

By eliminating administrative clutter, GAP has ensured that their major championships are supported by highly competent, confident volunteers. Players step onto the course with the absolute certainty that they are participating in a first-class, meticulously run event where volunteers match the exact professional standard expected of full-time staff.

Slashing Admin by up to 75% to Prioritize Personal Engagement

Transitioning to automated workflows eliminated the tedious manual labor of moving data from one system to another. Crucially, this time wasn’t used to step away from the human element; instead, it liberated staff to double down on deep, personal connections. GAP reinvested these saved hours into high-touch experiences like interactive Zoom rules chats and premium in-person uniform pickups, beautifully balancing automation with genuine community engagement.

Fostering Brand Pride and Unity

With standardized touchpoints seamlessly integrated into a centralized portal, volunteers no longer feel like an isolated offshoot. They are fully immersed in GAP’s century-long legacy, instilling a deep sense of ownership, loyalty, and collective respect for the game from the moment they submit an interest form.

“We take a lot of pride in our work. If we give you a logo shirt and you’re wearing the brand, the hat, and all the things, we want you to share in that same pride, enthusiasm, loyalty, and respect for what we’re doing.”

Quality Over Quantity: Strategic Onboarding Over Arbitrary Growth

While volunteer numbers naturally climbed from 300 to over 450 active individuals, the real victory lies in the depth of their placement. Rosterfy’s comprehensive onboarding allows volunteers to proudly share their unique golf backgrounds upfront. GAP uses this data to strategically pair individuals with specialized roles that match their exact knowledge level, eliminating volunteer burnout and ensuring the right people are always in the right positions out on the field.

Choosing a respected and trusted platform

Previously we were using an internally created database that was probably built in the late '90s... “If we're going to make a move, we want to be future-proofing our program.' ... It was really just that safety of knowing that we're picking a product that is well-respected, is doing the right things as far as data compliance and just the tech behind it. When Rosterfy came up, [looking at] the value of what we were paying versus what we could see in the potential of what we can grow into, it was kind of a natural fit for us to pull the trigger."
