What makes Rosterfy different

Rosterfy is built for the future of volunteering

While legacy systems like VolunteerHub provide the basics, they often leave large-scale organizations trapped in manual processes.

Rosterfy was built to handle the complexity of 20,000+ volunteers, multi-site operations like Houston Food Bank, Blessings of Hope, Maryland Food bank, and the high-compliance needs of North American nonprofits. Volunteer Managers love the robust and highly configurable features such as Custom Forms, Application Checkpoint Automations, Shift Visibility, Waitlisting and more.

What people are saying about VolunteerHub: The Good

VolunteerHub is widely regarded as a reliable, “tried-and-true” workhorse of the nonprofit world. Having been in the market since 1996, it has built a reputation for stability, particularly among mid-to-large organizations that prioritize a centralized database and solid scheduling capabilities.

What users love

  • The Blackbaud connection: Users consistently cite its deep integration with the Blackbaud ecosystem (Raiser’s Edge, eTapestry) as its standout feature. Note: it’s worth Rosterfy has an excellent integration with Raiser’s Edge from Blackbaud.

  • Ease of use: The “Landing Pages” feature is highly praised. Admins find it easy to create specific entry points for different groups. This which simplifies the signup process for the volunteer.

  • Self-service tools: The Kiosk mode is a favorite for on-site management. Reviewers appreciate that volunteers can check themselves in and out, which significantly reduces the manual entry of hours for staff.

  • Customer Support: The support team is frequently described as “responsive,” and “genuine partners” during the implementation phase.

What people are saying about VolunteerHub: The Cons

Common criticisms

  • “Legacy” interface: A common theme in recent reviews is that the user interface feels dated compared to newer, more modern apps. Some users find the administrative backend to be “clunky” or less intuitive than they’d like.

  • The learning curve for reporting: While the reporting is considered useful, many reviewers mention a steep learning curve. Finding specific data points or building custom “donation-from-registration” reports often requires significant time or help from support.

  • Limited mobile functionality: While a mobile app was recently introduced to address long-standing requests, users note that it is primarily for day-of check-ins. It doesn’t yet allow volunteers to browse for new opportunities or perform deep administrative tasks and is a ‘mobile responsive’ version of the platform rather than a dedicated volunteer app.

  • Cost vs. Innovation: Some long-term users have expressed that while the pricing has remained consistent, the platform’s development has slowed. These reviewers feel the software hasn’t added “advanced” features at the same pace as its newer competitors.

"Fairly easy to use"

I appreciate most that I'm able to pull reports from the database of registered users. Also love that you can view either as administrator or user, it's always good to see what it will look like from the POV of the user. It's not a super intuitive software to use. Does take some using and understanding to get the hang of than usual. I think the user interface could be a lot cleaner.

What people are saying about Rosterfy: The Good

Rosterfy is widely viewed as a powerhouse of automation designed for organizations that have outgrown spreadsheets and basic databases. It is frequently described as “Enterprise-Grade,” making it the go-to for complex, high-volume programs.

What users love

  • “Set it and forget it” automation: The most praised feature is the automation engine. Users love that they can build “journeys” where the system handles the heavy lifting – sending training, checking credentials, and inviting volunteers to shifts without a staff member touching a button.

  • Extreme customization: Reviewers frequently mention that the platform is “almost infinitely customizable.” From branded portals to custom data fields and role-specific permissions, it adapts to the organization’s existing processes rather than forcing them into a box.

  • Built-in training (LMS): Admins appreciate the native training modules. Being able to host videos and content directly in the portal ensures that volunteers are 100% compliant before they even see a shift, which is a major win for high-risk or specialized roles.

  • Dedicated customer success: Rosterfy’s support team is often cited as a key strength. Users feel they aren’t just buying software, but gaining a partner that helps them “future-proof” their program and find creative ways to use the tool.

  • A CRM Powerhouse: Users love how Rosterfy transforms raw data into strategic intelligence. By using advanced tagging to segment their database, organizations are uncovering ‘hidden’ fundraising leads and impact stories that were previously buried in disconnected spreadsheets.

What people are saying about Rosterfy: The Cons

All Volunteer Management Systems have their challenges and Rosterfy is no different – with unrivalled configurability comes complexity so learning the platform can be challenging.

Common Criticisms

  • The “Steep” learning curve: The most common drawback mentioned is that Rosterfy can do so much, non-technical admins often report that it takes significant time and “brain power” to initially set up and master all the features – however that’s where having best-in-class support stands Rosterfy out as a partner rather than just a supplier of software.

  • Implementation time: Because Rosterfy is so robust, the onboarding process is not “plug-and-play.” Reviewers note that it requires a dedicated implementation period (sometimes weeks or months) to get everything up and running before launching.

  • Too much of a good thing: Some smaller organizations find the abundance of features a little daunghting. Users have noted that if you only manage a handful of volunteers, the sheer number of buttons and settings can feel like “using a sledgehammer to crack a nut.”

"An Outstanding Volunteer Management Platform"

Rosterfy has revolutionised the way we manage our volunteer program. This end-to-end volunteer management platform handles everything from onboarding to volunteer management and training, allowing us to focus on what truly matters: working with volunteers, their development, and supporting our volunteering program.

MOBILE APP COMPARISON

Utility vs Engagement: VolunteerHub's App

The fundamental difference between the two apps is Utility vs. Engagement. VolunteerHub’s app is a “day-of” tool designed to get volunteers in and out of the door. Rosterfy’s app is a “lifecycle” tool designed to keep volunteers connected to your mission 365 days a year.

Primary Purpose:  On-site check-in and shift viewing.

Recruitment: Mobile-responsive web view of the desktop platform which isn’t optimized for accessibility.

Onboarding: Achieved in the mobile Browser.

Training: Not available. Volunteers will need to leave the app experience and complete training on another program.

Communication: SMS and Email.

Attendance: Manual or basic GPS.

Retention: View total hours.

MOBILE APP COMPARISON

Utility vs Engagement: Rosterfy's App

Rosterfy offers a world-class experience that volunteers actually want to use. By moving your training, rewards, and communication into a native app, you reduce no-shows and turn casual helpers into dedicated advocates.

Primary Purpose: End-to-end volunteer journey management.

Recruitment: Native in-app browsing and one-click apply.

Onboarding: Complete forms and upload IDs in-app all managed through the app.

Training: Integrated. Watch videos and take quizzes in-app.

Communication: Push notification leading to higher open rates and engagement.

Attendance: Geofencing & QR Codes for automated check-in

Retention: A ‘Gamified’ experience with E-badges, milestones and reward stores accessible via the app.

The Strategic CRM Advantage: Data as an Asset

VolunteerHub: The Static Database

In VolunteerHub, data is largely a byproduct of scheduling. You can see who showed up and how many hours they worked, but that data often sits in a “silo.”

  • The manual burden: If a Development Director wants to find “Corporate Volunteers who have worked 50+ hours and are also recurring donors,” a staff member usually has to export several spreadsheets, manually cross-reference them, and upload them into a separate CRM.

  • The “Dark” data: Because the data isn’t easily “mineable,” high-value insights – like identifying a volunteer who is actually a C-suite executive at a potential partner company often go unnoticed.

"Endless options"

Rosterfy helps us manage 200-300 volunteers daily at three different Food Bank locations. I especially like the endless options - from customizing verbiage to setting specific permissions, it’s built for large organizations that need to do more than just the basics.

The Strategic CRM Advantage: Data as an Asset

Rosterfy: The CRM Powerhouse

Rosterfy treats every volunteer interaction as a data point that can be tagged, grouped, and leveraged instantly.

  • The “Smart” engine: Rosterfy uses Automated Tagging. If a volunteer hits a specific milestone or possesses a specific skill, the system automatically tags them and moves them into a “High-Value” segment.

  • Powering Your Mission:

    • Fundraising: Instantly identify your most engaged advocates to pass as “warm leads” to your development team.

    • Grants: Pull granular impact reports (e.g., “Our 18-25-year-old demographic contributed 4,000 hours toward food insecurity in Q3”) with one click to prove your community reach to grantors.

    • Connection: Use “Custom Attributes” to map skills (like CDL drivers or Spanish speakers) across your entire North American footprint, ensuring you always have the right person for the right crisis.

Branding your mission: The Volunteer Perspective

VolunteerHub: The "Sub-Site" Feel

VolunteerHub is excellent for getting a logo onto a page quickly. It provides a reliable “portal” where volunteers can sign up, but the structure remains very “VolunteerHub.”

  • The experience: When a volunteer clicks “Register” on your beautiful, modern website, they are redirected to a VolunteerHub URL. This shift in design and URL can lead to a “drop-off” in trust, particularly for new donors or high-value corporate partners.

  • Template limitations: While you can change colors, you are largely restricted to their layout. This makes it difficult to tell a visual story or use your organization’s specific brand fonts and iconography.

"A sense of ownership"

What we love most is the professional look and feel. We can create bespoke, co-branded portals for our corporate partners. It gives them a sense of ownership over their impact and makes us look like a truly modern, tech-forward nonprofit."

Rosterfy: Seamless experience

Rosterfy is built to be a fully branded solution. It is designed to sit inside your brand’s digital ecosystem so seamlessly that volunteers never feel like they’ve left your site.

  • Total brand ownership: With a Custom Domain, your volunteers stay on your URL. With Full CSS Access, your digital team can match every button, font, and padding to your global brand guidelines.

  • The corporate advantage: For Food Banks working with massive corporate partners (like Amazon or PepsiCo), Rosterfy allows you to create Co-Branded Dashboards. When their employees log in, they see their own company’s branding alongside yours, reinforcing the partnership at every touchpoint.
