Meals on Wheels Queensland: Saving time and delivering a better place to volunteer

Rosterfy has been tremendous for services. I’ve found it incredibly easy, and it has made my life a lot easier. It’s helped by reducing the amount of time to onboard new volunteers. It’s given us back the time that we spend doing what we love, which is helping our clients.

Introduction

Meals on Wheels Queensland operates across 140 different locations run by 99 member services, relying on over 6,500 volunteers across the state to deliver its services and support to 23,000 Queenslanders to serve 3 million meals each year.

Volunteers play a range of vital roles including meal delivery drivers and delivery assistants, kitchen helpers who prepare and pack meals, and other support tasks like client check-ins and administrative help. These roles not only ensure nutritious meals reach people who need them, but also provide important social connection and wellbeing support through friendly visits and regular contact.

The Challenge

Operating across 140 locations with a diverse range of volunteer roles, Meals on Wheels Queensland faced the challenge of delivering a consistent volunteer experience while managing onboarding at scale. The organisation needed a solution that could standardise processes across its statewide network, reduce administrative burden, and ensure compliance across all locations.

A key challenge for Meals on Wheels Queensland was managing compliance and training during volunteer onboarding. With 99 member services previously operating independently, onboarding processes varied significantly across locations, leading to an inconsistent volunteer experience and a lack of centralised visibility over compliance and volunteer data.

Customised onboarding journeys

“Rosterfy really provided us with the opportunity to centralise compliance as an onboarding platform, allowing that compliance training, safety checks before their first shift.”

The Results

By implementing Rosterfy, Meals on Wheels Queensland introduced customised, role-specific onboarding and training pathways that streamlined administration for central teams while supporting local service delivery. With volunteer team leaders responsible for onboarding and managing volunteers on the ground, Rosterfy provided an intuitive, user-friendly platform that empowered leaders to efficiently integrate volunteers and manage them as an extension of their team.

Tremendous for our services

“Rosterfy has been tremendous for services. I’ve found it incredibly easy, and it has made my life a lot easier. It’s helped by reducing the amount of time to onboard new volunteers. It’s given us back the time that we spend doing what we love, which is helping our clients.”

In addition to reducing time spent on administration, Rosterfy has redefined Meals on Wheels Queensland’s approach to risk and compliance, providing confidence that all volunteers complete the required onboarding steps and training, regardless of their location. With automated tracking and verification, the organisation now has clear visibility over compliance requirements, removing the need for manual follow-ups and reducing administrative workload.

In addition, Meals on Wheels Queensland has benefited from the Rosterfy and SEEK Volunteer integration, which has streamlined volunteer recruitment and expanded reach. The integration has been described as “really beneficial” to attracting and engaging new volunteers, supporting the ongoing growth of the volunteer program.

Automations have taken pressure off our team

“The automations within Rosterfy have been really great and have taken a lot of the pressure off our service coordinators out in each location. The automations really help to make that workflow streamlined and an easy process for volunteers and rather than having to do a whole suite of training, they can just do the training that’s necessary for them.”

The Impact

The introduction of a consistent, branded volunteer portal has been a key success for Meals on Wheels Queensland. By providing a platform that reflects the Meals on Wheels brand and values, the organisation has been able to deliver a uniformed volunteer experience across all branches, regardless of location. This consistency has reinforced Meals on Wheels Queensland’s value proposition and ensured volunteers are supported and treated in the same way statewide, strengthening engagement and alignment across the network.

A better place to volunteer

“Have a good look at Rosterfy because it will give you time back, it will give you consistency and essentially offer a better place to volunteer.”
