Inclusive and innovative programme

London Youth Games (LYG) is a charity that uses the power of sport and physical activity to create life-changing opportunities for over 180,000 young people across London each year. At the heart of these events is GamesForce, LYG’s volunteering programme.

Before adopting Rosterfy, managing volunteers for multiple events across the season was time-consuming and complex with recruitment, scheduling, and tracking engagement relying on manual processes.

LYG has transformed its volunteer management, creating a more efficient, data-driven, and inclusive volunteer programme powered by Rosterfy.

HOW ROSTERFY HELPS LYG CREATE A BETTER VOLUNTEER PROGRAMME

A game-changing solution for London Youth Games

Inclusive Recruitment

Customisable applications ensure individuals of all backgrounds and ability can apply with ease.

Data Management

Centralised volunteer profiles securely track demographics, details, accessibility needs, and more.

Dynamic Scheduling

Create adaptable rosters that accommodate changing demands and availability.

Communication

Automated emails, SMS, and app notifications keep volunteers connected and informed.

A streamlined, time-saving solution

By automating manual tasks, Rosterfy has freed up valuable time for LYG to focus on meaningful engagement and DEI initiatives. The platform has streamlined recruitment, scheduling, and communication, allowing the team to efficiently manage 900+ volunteers across the 2024 season.

By reducing the administrative burden, LYG can focus on engagement, training, and creating a positive volunteer experience, ensuring every volunteer feels valued and supported.

This has been particularly impactful for large-scale events like LYG Finals Festival, where thousands of young athletes compete across different locations.

“It’s a big event and is spread across a lot of different areas. Operationally and logistically it is quite difficult and it requires a lot of volunteers. With Rosterfy it’s a much easier process and I don’t think we’d be able to do it manually. It saves us a lot of time this way.”

Driving DEI with data and reporting

One of Rosterfy’s most valuable features for LYG has been the ability to track and improve volunteer diversity. With real-time reporting, LYG can monitor representation, identify gaps, and take action to ensure volunteer opportunities are accessible to all.

Quarterly reports on disability volunteering help secure funding, while annual reviews provide a clear picture of volunteer engagement and retention.

By leveraging data-driven insights, LYG successfully fosters a more inclusive environment. From the 2023 to 2024 seasons, there was a 14% increase in young leaders with a disability.

“Rosterfy is a lot more automated and streamlined, but another massive benefit is the reporting side of it. We can have a real picture of the demographics of our volunteers and who’s engaging so we can identify gaps and then take steps to make sure that we’ve got an inclusive and representative cohort of volunteers."

A growing community of volunteers

A strong focus on the volunteer experience has significantly expanded and diversified the GamesForce community.

In 2024, LYG achieved a 23% increase in unique volunteers and a 48% increase in corporate volunteer participation - a direct result of its strategic recruitment and retention efforts.

What contributed to this growth?

  • Flexible volunteer roles
  • Mentoring programmes
  • Corporate partnerships
  • Digital-first experience

Inclusion in action

The impact of LYG’s inclusive volunteer programme is best seen through the experiences of its volunteers.

Julie Ferrett, a wheelchair user and dedicated advocate for inclusion, has been volunteering with LYG for over 30 years. Her commitment was recognised at the 2024 Workforce Celebration Evening, where she received a Special Recognition Award.

Para-events are a key part of LYG's season, and volunteers receive bespoke inclusion training to ensure they create a welcoming and supportive environment for all participants.
