1. ABOUT THIS POLICY
This Policy helps you use the Rosterfy platform safely and responsibly. The Rosterfy platform (the "Platform") includes, but is not limited to our website, mobile apps, messaging features, sandbox and all other related services that help you coordinate and participate in volunteer and other activities.
By using the Platform, you're agreeing to follow this Policy. Think of it as a shared commitment to keeping the Platform a positive, productive space for everyone involved in volunteer work.
Who provides the Platform:
- Australia and Asia-Pacific: Rosterfy PTY Ltd (ACN 166 429 585)
- United Kingdom and Europe: Rosterfy Ltd (Company No. 11272292)
- United States, Canada, and Americas: Eventworkforce Inc. (doing business as "Rosterfy")
2. THE ESSENTIALS
What the Platform is For
The Platform exists to help you coordinate volunteer activities, communicate with your team, manage events and shifts, and support the programmes you're involved with. Use it for these purposes and in ways that help rather than hinder collaborative work.
The Golden Rules
Be professional. You're using the Platform in connection with volunteer programmes and organisations. Keep your communications and conduct appropriate for that context.
Be honest. Provide accurate information. Don't impersonate others or misrepresent yourself.
Be secure. Protect your login details. Don't share them with others or use someone else's account. Report anything suspicious immediately to your administrator or to support@rosterfy.com.
Be respectful. The Platform brings together people from diverse backgrounds working toward common goals. Treat others with courtesy and respect their privacy.
Be lawful. Follow applicable laws where you are and where others you interact with are located.
3. WHAT'S NOT ALLOWED
Some conduct creates risk or harm for other users, organisations, or Rosterfy itself. Here's what crosses the line:
Content That Causes Harm
Don't post, share, or transmit anything that's:
- Unlawful, abusive, threatening, harassing, defamatory, or hateful
- Discriminatory based on race, ethnicity, religion, gender, sexual orientation, disability, or other protected characteristics
- Sexually explicit or promotes violence
- False or misleading in ways that could cause harm
- Someone else's intellectual property without permission
Actions That Compromise Security
Don't:
- Upload malware, viruses, or other malicious code
- Try to access parts of the Platform you're not authorised to use
- Attempt to breach security measures or exploit vulnerabilities
- Use automated tools (bots, scrapers) without authorisation
- Do anything that disrupts the Platform's operation
Misusing Communication Features
Don't:
- Send spam or bulk messages unrelated to volunteer coordination
- Use messaging for commercial purposes or marketing (unless you're authorised to do so)
- Harass, bully, or repeatedly contact someone who's asked you to stop
- Share others' private information without consent
Misusing Data and Accounts
Don't:
- Share your login credentials or let others use your account
- Access, collect, or use information about other users for unauthorised purposes
- Create multiple accounts to evade restrictions
- Export platform data without proper authorisation
Using the Platform Improperly
Don't:
- Try to reverse engineer or copy the Platform's code or functionality
- Use the Platform to build competing products or services
- Remove copyright or other proprietary notices
- Use the Platform in ways that damage Rosterfy's or your organisation's reputation
4. YOUR CONTENT AND PRIVACY
You own what you create. Content you post - messages, files, profile information - remains yours. But you're responsible for it, too. Make sure anything you share:
- Complies with this Policy
- Respects others' rights and privacy
- Is appropriate for a volunteer coordination environment
File uploads: Only upload files relevant to your volunteer work. Respect file size limits. Don't upload anything containing malware or prohibited content.
Others' privacy matters. Don't collect, use, or share personal information about other Platform users unless you have proper authority and they've consented. Follow data protection laws that apply to you.
Read the Privacy Policy. Your use of the Platform is also governed by Rosterfy's Privacy Policy at https://www.rosterfy.com/privacy-policy and any privacy notices from your organisation.
5. MONITORING AND ENFORCEMENT
How We Monitor
We use automated tools to scan for security threats, spam, malicious content, and Policy violations. These tools aren't perfect - they might miss things or occasionally flag legitimate content. Administrators from your organisation can also view channels and content for moderation purposes where applicable.
What Happens If You Violate This Policy
Depending on the severity, we or your organisation may:
- Issue a warning
- Temporarily restrict access to certain features
- Suspend your access
- Permanently terminate your access
- Report serious violations to law enforcement
Important: No refunds or credits are provided for suspensions or terminations due to Policy violations where applicable.
Report Problems
If you see content or behaviour that violates this Policy, or if you have security concerns:

6. OTHER IMPORTANT POINTS
Sandbox environments: If you have access to testing environments, use only synthetic test data - never real personal information. See our Sandbox Use Policy for full requirements.
Third-party services: The Platform may integrate with other services that have their own terms. You're responsible for following those too.
Changes to this Policy: We may update this Policy to reflect new features, legal requirements, or security needs. We'll notify you of material changes through email or in-app notifications. Continuing to use the Platform means you accept the updated Policy.
Cooperation: If we're investigating a Policy violation, we may ask for your cooperation and information. Please respond promptly and honestly.
7. LEGAL BITS
This Policy is governed by:
- the laws of England and Wales (if the service is provided by Rosterfy Limited);
- the laws of Victoria, Australia (if the service is provided by Rosterfy Pty Ltd); or
- the laws of the State of Delaware, USA (if the service is provided by Eventworkforce Inc.), and you submit to the non-exclusive jurisdiction of the courts in the relevant jurisdiction.
