SEEK Volunteer Integration

Australia's first SEEK Volunteer integration, Rosterfy + SEEK Volunteer will enable selected Events within Rosterfy to be synced directly into SEEK Volunteer upon creation, eliminating the need for double entry.

Designed to convert more of your registered volunteers into active volunteers the Rosterfy + SEEK Volunteer integration is here to help you. Integrate Rosterfy with Australia's largest source of volunteer opportunities, to help you better connect with your community.

The SEEK Volunteer integration will enable you to:

  • Sync Event information directly into SEEK Volunteer.
  • Administrators can publish their volunteer opportunities directly from Rosterfy into SEEK Volunteer.
  • Allow volunteers to complete their registration directly from SEEK volunteer into Rosterfy.
  • Manage the onboarding journey of volunteers within Rosterfy, eliminating the need to manage both systems.

Rosterfy and SEEK Volunteer Integration Setup Guide

 

 


Setting Up the Integration

To setup the integration, follow these simple steps:

  1. Navigate to Settings > Integrations in Rosterfy.
  2. Locate SEEK Volunteer in the list and select Enable > Authorize.
  3. Login using your SEEK Volunteer admin credentials in the pop up window and click Sign in > Allow.

  4. After login, you will be returned to the Integrations page, showing the SEEK Volunteer integration is now authorised.

 


Posting an Event to SEEK Volunteer

To post an Event to Seek Volunteer as an opportunity when creating it, is simple.

Follow the below instructions:

  1. Navigate to Events > Events.
  2. Click Create.
  3. Complete all the required fields on the General tab, the information entered here will sync with SEEK Volunteer. 
  4. Complete all the required fields on the Advanced, Portal Visibility and Shift Defaults tabs also.
  5. The Integration tab is specific to SEEK Volunteer, on here you will need to tick the Post this event as a SEEK Volunteer Opportunity checkbox if you wish to sync it.

    Three additional fields will be shown after you tick this box. The information you input into these fields will be shown on the opportunity within SEEK Volunteer.

    Select a location for the event in the SEEK Volunteer Opportunity Location, this is also required for virtual events.

    Select the applicable SEEK Volunteer Opportunity Category.

    Enter a blurb for SEEK Volunteer Opportunity Summary, this will be searchable within SEEK Volunteer to assist volunteers to find your organisations opportunities.

  6. Once you Save the event, it will automatically sync with SEEK Volunteer.

Note: An Unpublished event in Rosterfy will show as a Draft opportunity within SEEK Volunteer. A Published event in Rosterfy will show as an Active opportunity.

Note: Events cannot be posted to SEEK Volunteer via imports or bulk imports, only via the Create / Update pages within the admin console.

1. How can we change which SEEK Volunteer admin login is linked to Rosterfy?

The SEEK Volunteer admin login that is linked with Rosterfy via the integration can be updated, follow these simple instructions:

  1. Navigate to Settings > Integrations in the admin console.
  2. Locate SEEK Volunteer, click Update.
  3. Click Actions > Re-authorize.
  4. A pop up will appear for you to login to your SEEK Volunteer admin account, 
  5. Click Sign In > Allow.

 


2. Can we add an existing Event into SEEK Volunteer?

The SEEK Volunteer integration works for existing Events as well as for newly created opportunities.

To update an existing Event follow these simple steps: 

  1. Navigate to Events > Events.
  2.  Locate the Event you would like to sync with SEEK Volunteer and click More Actions > Update.
  3. Navigate to the Integrations Tab, here you will be able to select to Post this event as a SEEK Volunteer opportunity.

 


 3. My Event is ongoing, how long will the opportunity show on SEEK Volunteer?

When the Is Ongoing field is ticked on Rosterfy for an Event that is synced with SEEK Volunteer, the opportunity will be allocated an expiry of 12 months after the creation of the opportunity.

The SEEK Volunteer opportunity will also show that the volunteer as Regular - More than 6 months when Is Ongoing is selected in Rosterfy. 

If you do not select this option and instead enter start and end dates, it will show in SEEK Volunteer as One off - an Event.

 


4. My Event is virtual, how will it show on the SEEK Volunteer opportunity?

If your event is virtual, you will need to tick the Is Virtual? option in the General tab of the event. You will also need to add a physical location on the Integration tab, for the SEEK Volunteer opportunity.

The opportunity will show in SEEK Volunteer with Online or Remote. 

Below is an example of an ongoing event, that is virtual.


5. I made changes to a volunteer in SEEK Volunteer, why can't I see the changes in Rosterfy?

The integration is one-way, no changes made to volunteers in SEEK Volunteers are reflected in Rosterfy. You will need to make all required changes in Rosterfy.

Note: Any changes made in Rosterfy will override any changes made in SEEK Volunteer directly.

 


6. What will volunteers see when they click apply on SEEK Volunteer?

When a volunteer clicks on the apply button within SEEK Volunteer, they will be advised that they are being redirected to Rosterfy.

The volunteer will be presented with your login/registration page on the volunteer portal.

They will be asked to login if they already have an account or asked to register with your organisation before they can continue with the application.

After Sign in / Registration, they will be taken to the Event, Shift, Role Offer page applicable to the SEEK Volunteer opportunity they are applying to, allowing them to progress their application within Rosterfy.

 


What are the limitations?

  • One-way integration. Rosterfy is the source of truth and no changes made within SEEK Volunteer will flow through to Rosterfy.

  • Integration is linked to one SEEK Volunteer admin login.
  • You must be a not-for-profit or certified social enterprise to register for SEEK Volunteer.
  • This integration is for Australia only.

 


Disabling the SEEK Volunteer Integration

To disable the SEEK Volunteer integration from Rosterfy, simply follow these instructions:

  1. Navigate to Settings > Integrations.
  2. Locate the SEEK Volunteer integration, click Update.
  3. Click Disable.
