Our dedicated team has been working tirelessly to enhance the Rosterfy platform, focusing on user feedback and evolving industry needs. We are excited to introduce a variety of new features designed to improve functionality, streamline processes, and enrich the overall user experience.
Shift Calendar in the Volunteer Portal
The Shift Calendar feature provides users with a comprehensive view of all available and upcoming shifts, enabling them to engage with these opportunities in a centralised location. This feature offers both monthly and weekly views of shifts, helping users effectively plan their schedules and select the shifts that best suit their needs.
When the Shift Calendar feature is enabled, the corresponding checkpoint permission for accessing the Shift Calendar will be automatically granted. However, administrators have the flexibility to adjust this permission, allowing them to either show or hide the Shift Calendar based on the user's checkpoint journey.

💡How this helps: The Shift Calendar allows volunteers to easily view all available shifts, enabling them to enagge with these opportunities in a centralised location.
Waitlist Duration Display
We have added a new column, Waitlist Duration, in the admin console.
This column allows administrators to see the length of time the applicant has been on the waitlist.
Some important things to note:
- Information is updated when a user's waitlist status changes or the list is refreshed.
- Duration is calculated from when the applicant last entered the waitlist to today's date.
- The column is for display only and cannot be sorted or filtered.
- Duration display is only available once implemented. All waitlist records prior to this update will display as Unavailable.
💡How this helps: This column will help administrators better manage and prioritise applicants waiting for roles.
Allow Resubmission Options for User Data Collection Forms
Admins can now grant users a one-time opportunity to resubmit their user data collection forms when corrections are needed.
In the Form Submission tab of a user's profile, admins will now see a new button, Allow Resubmission, next to eligible forms, specially, the User Data Collection Form and the User Data Collection Form with Submission History.
To enable this feature, follow these simple steps:
- Navigate to Forms > List.
- Locate the User Data Collection or User Data Collection with Submission History form that needs correction, click More Actions > Update.
- Swap to the Form Setting tab, tick the checkbox, Prevent Form Resubmissions.
- Click Save.
When a correction is needed on a User Data Collection form, follow the below steps:
- Navigate to Users > Users.
- Search or locate the user who needs to correct their form submission, click More Actions > View Profile.
- On the Form Submissions tab, locate the form, click More Actions > Allow Resubmission.
The user will then be able to resubmit the form once more.
💡How this helps: This enhancement gives admins more control while making it easier for users to correct their information when necessary.
Enhanced Address Formatting with New Merge Tags
New address Mail Merge tags are introduced to give administrators better control over how addresses are displayed in communications.
This update allows for clear, professional presentation of of addresses in communications and volunteer portals without manual formatting, and supports scenarios where only certain address components are needed. This is ideal for localised events or communications.
💡How this helps: This enhancement ensures consistency, clarity, and flexibility without the need for manual formatting.
Email Template Inheritance and Filtering
This update gives administrators clearer control over template inheritance and makes it easier to manager and filter templates across multi-account environments.
Some important things to note:
- New columns have been added to the Email Templates list;
- Account: Shows where the template was created/inherited from.
- Inheritable: Indicates if a template is inheritable. (Yes/No)
- Advanced Filtering is available on the new columns that have been added.
- Inherited Templates are unable to be deleted or updated.
💡How this helps: This will enable admins to inherit templates rather than having to recreate when managing multiple accounts.
Field Search in Quick and Bulk User Update
A search bar is now available in the Quick Update User and Bulk Update User options, allowing admins to search for user fields across all tabs.
Minor Enhancements / Fixes ☑️
A number of minor enhancements / fixes have also been made to the platform and are outlined briefly below.
Training expiry date sorting and display enhancements
We’ve introduced improvements to how training modules are displayed and sorted within the volunteer portal, providing clearer visibility of upcoming and expired training requirements.
Volunteers can now sort their training list by expiry date, in descending order.Custom Field Option Deletion Confirmation
We have added important improvements to how the custom field options (both single and multi-select) are managed when deleted by administrators.
A warning pop-up will be displayed to show the number of records affected when deleting an option from a custom field and gives admins the option of:
- Delete the field and remove the corresponding data.
- Delete the field but retain the existing data.
- Delete the field and merge its data into another existing option within the same field.
Improved Accuracy for the Push Notification Enabled column in Admin Console
We have corrected an issue where the Push Notification Enabled column in the User list was inaccurately showing, No, for users who had pushed notifications turned on in their mobile device settings.
Unified Character Limits for Notifications
We have standardised character limits across the Notification Template and Send Communication > Notification interface for consistency and clarity.
Notification Content field now allows up to 65,535 characters.
Notification Subject field now allows up to 255 characters.
Note: Push notification messages will continue to be truncated automatically by mobile devices.
