Whatβs New π
Our dedicated team has been working tirelessly to enhance the Rosterfy platform, focusing on user feedback and evolving industry needs. We are excited to introduce a variety of new features designed to improve functionality, streamline processes, and enrich the overall user experience.
User History Log Enhancements
As part of our ongoing commitment to improving system transparency and administrative oversight, this release introduces extended logging capabilities within the User History log.
Automation Logs: Tracks changes made from Admin Console Automations.
Form Logs: Tracks all form submissions, incl. profile updates, event applications etc.
Email Logs: Tracks all email communications sent with key details, incl. email subject.
Training User Logs: Tracks all training conducted, incl. status, whether associated to a shift or not.
We have also introduced a new permission, Use Combined User History, when enabled, the history logs will include an additional column, Object. The object column will display entity details, including entity ID. Along with the User column being renamed to Author to allow for clearer attribution.

π‘How this helps: These changes provide admins with enhanced visibility into system-driven actions, communication history and user interactions.
However, will still be restricted to the access of the admin viewing the history.
Automatic Notifications for Email & Password Changes
To strengthen account security and improve transparency, whenever a users email address or password is changed, an email notification will be sent to them in real-time, regardless of how the change was made.
The email notifications will be sent as a transactional email type and is not impacted by marketing unsubscribe statuses.
Admins can also now configure automation actions for email updates and password changes.
Email Update Notifications:
All users will receive a notification when their email is updated by any method. The email notification will be sent to both the old and new email addresses.
Automation: User - Email Updated, available for admins to automate any follow-up actions.
Password Change Notifications:
All users will receive a notification for all password changes, including via the volunteer portal, forgot password requests and admin resets.
Automation: User - Password Update.
Customisable Notification Templates:
Two new template fields have been added to the Org Settings, Email Updated and Password Updated.
There are default templated provided, however if you wish to customise these, navigate to Settings > Organization Settings > Security tab.
π‘How this helps: These enhancements align with security best practices and give admins greater control over post-update workflows.
Control over External Links
As part of our ongoing efforts to improve user experience and provide more control to admins, we have introduced a new configuration option to enable/disable whether an external link is opened in a new tab.
This settings is available in the Admin Console, navigate to Settings > Portal Content > Portal Menu tab.
All existing external links have been automatically updated to open in a new tab, ensuring continuity for current users.
When creating a new external link, the checkbox is ticked by default; however, admins can uncheck it, based on desired experience.
π‘How this helps: This update will ensure that admins can control the experience that users will have when interacting with external links.
Auto-approve Reference Checks
This release introduces an enhancement to our Reference Check module, allowing admins the option to enable automatic approval for reference checks.
How to enable auto-approval:
To enable the auto-approval of reference checks, navigate to Settings > Integrations > Reference Checks, then click Update.
A new setting has been added, Auto Approve Reference Checks,
How it works:
When checked, an additional question will be added to the bottom of reference checks, Would you recommend this person?
If the referee selects yes, the reference check status will automatically change to auto-approved.
If the referee selects no, the reference check status will automatically change to failed.

π‘How this helps: This enhancement eliminates the necessity for admins to manually assess the feedback submitted on reference checks, allowing for a more streamlined application process for users and optimising the use of valuable human resources.
Minor Enhancements / Fixes βοΈ
A number of minor enhancements / fixes have also been made to the platform and are outlined briefly below.
Improve Date of Birth Validation Messaging
We have enhanced the user experience for entering a date of birth (DOB) by implementing clear and informative error messaging.
If a user inputs or selects a future date, they will receive an error notification prompting them to enter a valid date, along with information regarding the organisation's minimum age requirements, if applicable.
This update applies to both dropdown menus and standard input fields for DOB. Additionally, all error messages are automatically translated to align with your language settings.
